Job Title: Graduate HR Administrator

Reports to: Head of Human Resources

Location: Cork, Ireland (Remote/Hybrid)

Purpose:

Overview​ ​of​ ​Role 

As the HR Administrator, you will play a key role in ensuring a high degree of quality in our HRIS system, accurate information for reporting & performing other general HR and recruitment tasks, including the organisation of onboarding within the Company, creation and implementation of the Wellness Programmes and Communications Calendar.  Full Training will be provided.  In this role you will touch all aspects of HR and opportunities will be given to develop the areas that interest you most.

Key​ ​Responsibilities: 

KRA 1: HRIS Administration 

  • Setting up and maintaining electronic files on Bamboo HR (our HR system) for new hires   
  • and project manage onboarding.
  • Send reminders for 3 and 6 month probationary reviews.
  • Ensure Bamboo HR is kept up to date with any changes
  • Set up of employees on VHI Scheme and pension
  • Be proactive in streamlining HR processes with the guidance of the HR team
  • Create Training videos for employees about our communication and HR systems

KRA 2: HR Recruitment Administration

  • Post job vacancies on recruitment sites on HIRING, LinkedIn, Workvivo and via Email
  • Arrange Interviews on Google Meet for the HR team and Manager with candidates
  • Liaise with managers and HR interviewers to ascertain availability in their diaries, set up the interview with the candidate or agency and ensure the meeting invite goes out and is accepted.
  • Feedback any delays or issues in a timely manner
  • Respond to candidate applications where appropriate
  • Over time, interview candidates.

KRA 3:  Onboarding & Offboarding Administration

  • Organise and schedule inductions for new employees
  • Set up 8 week check ins with Head of HR
  • Send out the Ergonomics Questionnaire to new joiners as they join and arrange for them to do ergonomics training
  • Work through the onboarding task list and follow up to ensure all tasks are completed so that new hires have a positive experience, e.g IT equipment ordered and Induction schedule is organised.
  • Flag any delays to the HR Specialist for follow up if there are difficulties
  • Follow up with Manager’s to send HR a copy of a new hire job related induction programme prior to new employees starting 
  • Check that there are no delays on IT equipment arriving for new hires
  • Add new users to HR systems like Workvivo and Bamboo and remove when leaving
  • Keep Date of Births up to date on Workvivo
  • Schedule exit interviews, organise return of IT and other company property for leavers. 

KRA 4:  Learning and Development Administration

  • Add all new hires to Linked in Learning and remove leavers.  Manage the licences.
  • Send out invites for training and development sessions 
  • Ensure all formal training / development programmes completed are recorded on Bamboo on the employee record.

KRA 5:  Wellness and Communications Calendars

  • Create and implement the annual, quarterly and monthly aspects of the communications & Wellness Programmes.
  • Ensure that all speakers and meetings are recorded and sent out on Workvivo.
  • Drive internal events from the Wellness programme to encourage participation
  • Assist in the organisation of any Company Led volunteering

KRA 6: Reporting, Research and General Administration 

  • Track and follow up on those who have outstanding mandatory training to complete and follow up. E,g Dignity at Work training and Desk safety training
  • Perform data analysis and reporting from time to time
  • Research employment law in Ireland, US, UK or EU if required
  • Take requested reports from Bamboo and audit information to ensure it is correct
  • Upload appropriate job description to employee files on Bamboo HR for every individual
  • Complete the Headcount and Employee report monthly
  • Organise aspects of Christmas celebrations or other events as required
  • Qualifications,​ ​Experience​ ​&​ ​Skills 
  • Educated to degree level (8), preferably in a Business related field with a HR or Information Systems module as a distinct advantage.
  • Genuine interest in pursuing a career in Human Resources.
  • Integrity, confidentiality and builds trust easily
  • Service oriented & takes responsibility for timely delivery of work
  • Natural interest in systems and IT 
  • Strong written english
  • Strong problem solver, ability to collaborate and ask for help
